Bookia.ca ("Bookia", "we") is operated by Daillac Web Development, based in Montreal, Quebec. This policy describes how we handle personal information when you use our site, platform or AI voice agent services. It is governed by Quebec's Law 25 (Act to modernize legislative provisions respecting the protection of personal information) and, where applicable, by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information collected
- Professional contact details (name, email, phone, company) via our forms.
- Site usage data (pages visited, device, browser) for analytics purposes.
- Content of voice or written interactions, including call recordings and transcripts, when you or your customers use the Bookia platform.
- Technical data required for security and proper operation of the service.
2. Purposes
- Provide, configure and improve our AI agents and the user experience.
- Respond to your requests, provide support and commercial follow-up.
- Meet our legal obligations, particularly around consent and retention.
- Protect platform security and prevent fraud or abusive use.
3. Consent
We collect and use your personal information with your consent, given freely, on an informed basis and for the specific purposes described above. When our agents record or transcribe a call, notice is given at the start of the interaction and the person's consent is required. You may withdraw your consent at any time, without affecting the lawfulness of processing already carried out.
4. AI agents and automated processing
Bookia uses artificial intelligence to handle calls and messages, qualify requests and book appointments. Where a decision is based exclusively on automated processing, the individual may, on request, be informed of the information used, have it corrected, submit observations and ask that the decision be reviewed by a person.
5. Hosting, security and transfers outside Quebec
Data is hosted in Canada where possible. We apply encryption in transit and at rest along with security measures suited to the service. Where information must be communicated or hosted outside Quebec (for example with a cloud provider), we first conduct a privacy impact assessment and govern the transfer by contract.
6. Retention and destruction
We retain personal information only for as long as necessary for the stated purposes or our legal obligations. Once those purposes are met, the information is destroyed or anonymized. The retention rules specific to your account are defined with you.
7. Your rights (Law 25)
- Right of access, rectification and deletion of your information.
- Right to withdraw consent where applicable.
- Right to portability: to receive your computerized information in a structured, commonly used technological format.
- Right to request that dissemination of information about you cease, or that it be de-indexed.
- Right to human intervention and to submit observations regarding an automated decision.
- Right to file a complaint with the Quebec Access to Information Commission.
8. Confidentiality incidents
In the event of a confidentiality incident presenting a risk of serious injury, we take reasonable measures to reduce its effects, keep a register of incidents and promptly notify the Access to Information Commission and the individuals concerned, in accordance with Law 25.
9. Person in charge of personal information protection
The person responsible for the protection of personal information at Bookia is Harold Selom KPODAR. To exercise your rights or for any request regarding your personal information, email info@bookia.ca.
